What a workflow project looks like
Take VAT evidence. Each quarter, invoices and receipts arrive by email, sit in supplier portals or turn up as PDFs. Someone has to find them, save them and record them before the return can be done.
We set up an AI assistant to work through your inbox and portals, save each document to the right folder in your cloud storage, and log the supplier, date, net amount and VAT in a spreadsheet. You check the log and approve it. Your accountant gets a complete set.
The same approach works for payroll paperwork, supplier statements, expense claims and month-end reports.
What we don't do
We don't keep your books, file returns, run payroll on your behalf or give tax advice. We set up and look after the tools. You and your accountant stay responsible for your records and filings.
Questions people ask
Which AI do you use?
We use whichever tool does the job best. Today that is often Claude, because it can work in a web browser the way a person would. If another assistant does the job better, we'll recommend it. Every workflow is documented, so you're not tied to one vendor.
Do I need to buy any software?
Usually you'll need a business subscription to an AI assistant in your own name, which typically costs around £15 to £25 a month. We'll tell you exactly what you need before you commit to anything.
Where does my data go?
Your data stays in your own accounts: your email, your cloud storage, your AI subscription. We don't copy it to our systems. We agree in writing what we can access and why, and we remove our access when the work is done.
Will it make mistakes?
Sometimes, which is why every workflow includes a check step where you review what the AI has done before anything is final. We design the workflows so mistakes are easy to spot and cheap to fix.
Do you work remotely or in person?
Both. Most work happens over video call with screen sharing. If you're around Bishop's Stortford, Harlow or north London, we can come to you for the set-up session.
I'm an accountant. Can we work together?
Yes. If your clients send you incomplete or late paperwork, we can help them sort it at source. Get in touch to talk about how a referral arrangement could work.
